The Space offers two distinct ways to share your content. You can share a folder with specific people so they can work in it with a defined level of access, or you can create a public share link that lets anyone with the link open a single object. This page covers both.
Sharing a folder with users
Sharing happens on root folders. When you share a root folder, the people you add gain access to that folder and all of its sub-folders — sub-folders inherit access from their root and cannot be shared individually. A user the folder was not shared with cannot access it (a space admin is the only exception, since admins can read and edit every object in the space).
Folder roles
When you share a folder, you assign each person a folder role. The role decides what they can do inside the folder.
How to share a folder
- Open the root folder you want to share and open its list of users (Folder users).
- Click Share to open the share dialog.
- Choose the group of people to share with.
- Pick the folder role (Owner, Member or Visitor) to assign.
- Click Save. The people gain access immediately and appear in the folder users list.
Sharing with a team
You can share a folder with a team to grant access to a whole group of people at once. Sharing with a team gives each member individually the chosen folder role.
Public share links
A share link (also called a token) is a public link to a single object. Anyone who has the link can open the object without signing in. Use share links when you want to give access to a specific object to people outside your space, rather than granting them a folder role.
Creating a share link
- Open the Share links dialog for the object you want to share.
- Click Create share link.
- Optionally set an expiration date. Leave it empty for a link that never expires.
- Save. The new link is added to the list and can be copied and shared.
Managing share links
The Share links dialog lists every link created for the object. Each link is valid for a limited time when an expiration date is set, and any link can be revoked at any time to immediately cut off access for anyone still holding it.
