The action menu
Most day-to-day operations on a form are available from its action menu — the three-dot icon. The menu is the same whether you open it from a form row on the Forms page or from the header of the form detail page. It provides the following actions:
- Tags — add or remove tags on the form.
- History — open the save history panel.
- Search notes — find the notes that use this form.
- Archive / Unarchive — archive the form or restore it.
- Delete — permanently delete the form.
Renaming a form is done directly on the detail page rather than from the action menu — see below.
How to rename a form?
The form name is editable inline from the form detail page. Click on the name in the header, type the new name, and click away to save it. The name is independent of the form's field values — renaming a form never affects the data it contains, and it can be done whether the form is in Draft or Submitted status.
How to tag a form?
Tags help you categorize and organize forms. Open the Tags entry in the action menu to add or remove tags. The form's current tags are also shown in the sidebar of the form detail page, where you can manage them directly.
Tags can be used to filter forms on the Forms page. A form may also inherit tags from its form template — those propagated tags appear alongside any tags you add directly to the form.
How to view a form's save history?
Every time a form is saved, the changes are recorded. Open the History entry in the action menu to display the save history panel on the right side of the screen.
The history is shown as a timeline of save events, most recent first. Each entry shows who made the save, when, and how many fields changed. Click an entry to expand it and see the individual changes — for each changed field, its name, what kind of change it was, and the value before and after. Status changes, such as a form being submitted, also appear in the timeline. Use Load more at the bottom to load older events.
How to search for notes using a form?
A form can be embedded in one or more notes. Before archiving or deleting a form, it is useful to know where it is used. Open the Search notes entry in the action menu to list every note that embeds this form. For more on embedding forms in notes, see Forms in notes.
How to archive or unarchive a form?
Archiving a form removes it from active use while keeping it for reference. Open the Archive entry in the action menu and confirm. Archiving is independent of the form's status — both draft and submitted forms can be archived.
Archived forms are hidden from the default view of the Forms page. To see them, use the All forms saved search or enable Include archived forms in the advanced search. To bring an archived form back into active use, open it and choose Unarchive from the action menu.
How to delete a form?
To permanently remove a form, open the Delete entry in the action menu and confirm. Deleting a form also removes its save history.
Deletion is permanent and cannot be undone. A form that is still embedded in a note cannot be deleted — detach it from the note first, or delete the note. If you only want to set the form aside without losing it, archive it instead.
